Sourcing and Supply Specialist

 

Position Purpose:

Work as part of the supply team to ensure we source and products on time, in full and in specification.

Liaise with Product Development, Sales team and GM to ensure costings, PO’s and product specifications are correct.

Maintain proactive and productive relationships with product suppliers overseas and negotiate best price and delivery terms.

For new products, ensure communication is fluid with the teams and information is transferred through to the relevant departments and systems.

Work with management to make key decisions around product sourcing and product quality.

 

RESPONSIBILITIES:

Sourcing

Liaise with design team on product specs for new ranges and maintain best practice for sourcing quality and price competitive products.

Send detailed brief/RFQ to suppliers based on product development/design concept.

Offer advice to design and sales on MOQ’s, supplier restrictions, supply chain concerns etc.

Manage non-compliance process with suppliers and China staff to find solutions and ways to avoid issues in future.

Costing/Quotation. 

Contract:  Receive pricing, check and submit to sales team.   Amendments/Updates as required.

Core Ranges: receive pricing, prepare costings and work with GM to approve final price.

Purchasing. 

Contract: Action the PTO (proceed to order) confirmation from sales team and confirm orders with supplier. 

Core Ranges: Action the forecast/approval from GM and confirm orders with supplier.

Liaise with supply team around item data set up on ERP and raising of PO.

Production.  

Manage the critical path for all open orders of contract orders and new products.

Initiate PO and confirm with suppliers.

Update the planner system with dates and action points and ensure all parties are kept informed.

Collaborate on product specifications for suppliers

PP sample despatch and approval

Mass sample despatch and approval

Liaise with sales team for finalization of customer special requirements

Answer any and all queries regarding production and coordinate decision making.

Coordinate QC checks at factories where required.

Request and file appropriate testing and quality documentation for each product.

MEASURE OF RESULTS:

Pricing and costings prepared in time to ensure sales teams can achieve deadlines for selling in to customers.

Costings are accurate and system reflects up to date accurate information.

All orders are delivered on time, in full and in spec.

Problems and quality issues are dealt with in a timely fashion and not repeated.  A mindset of continuous improvement is maintained at all times.

Product is fit for purpose and we are sourcing the cost effectively and efficiently.

SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:

Experience within our industry and knowledge of our products (candles, diffusers, perfume and bodycare) is a benefit but not essential.

Familiar with overseas supply chain, sourcing and product development.

Negotiating and troubleshooting, particularly with off-shore suppliers.

Proven track record of managing a production critical path independently in a similar environment with similar products, such as homewares or textiles is important.

Software skills: Intermediate/Advanced level ERP usage, Microsoft office: Excel & Word.

Be able to build lasting and cooperative relationships with external suppliers, collaborators, and internal team members

Excellent time management skills, attention to detail and adaptable.
